Goodwill: subscription activated by mistake after a one-off CV service

The situation

Ms Lindner (fictional) ordered a one-off CV check for €4.90 on 3 February 2026. Two weeks later €26.95 was charged for a monthly subscription she had not knowingly selected. She cancelled the same day and used none of its features. She wants to politely ask for a goodwill refund.

Katharina Lindner
Ahornweg 12/4, 1210 Wien

Beilagen:
– Kontoauszug vom 17.02.2026 (Auszug, geschwärzt)
– Kündigungsbestätigung K-559102

Why is the letter structured this way?

  • The subject line names customer number, date and amount, so the case is found immediately.
  • The undisputed order is confirmed first, which sets a factual starting point.
  • The chronology shows in a few lines that the cancellation was immediate and nothing was used.
  • Goodwill is requested explicitly; no entitlement is claimed, which keeps the tone open.
  • Reply channel, preferred date and enclosures are clearly separated at the end.

What would you have to adapt for your own case?

Names, dates, amounts, facts, reference numbers, recipients and the requested outcome always have to be adapted to your own case. Without that adaptation the text does not fit.

  • Replace customer, order and confirmation numbers with your own.
  • Take all dates and amounts exactly from your bank statement.
  • Extend or shorten the chronology to match what actually happened.
  • Adapt the requested outcome: full refund, partial refund or credit note.
  • Only list enclosures you actually send.

Is your case different?
