The situation

Why is the letter structured this way?
- The subject line names amount, order number and ticket, so the case is found without searching.
- The chronology is fully dated and each step names a document or reference.
- The company's own promise is quoted instead of making accusations.
- The request is firm but factual and names a concrete date.
- The three questions make the reply verifiable instead of generic.
What would you have to adapt for your own case?
Names, dates, amounts, facts, reference numbers, recipients and the requested outcome always have to be adapted to your own case. Without that adaptation the text does not fit.
- Replace order, ticket and receipt numbers with your own.
- Only include a chronology line if you can evidence it.
- Take the amount and payment channel over exactly.
- Adapt the requested outcome: transfer, voucher or replacement delivery.
- Choose a realistic reply date.
Is your case different?
We draft your reply to an official letter, your complaint or your goodwill request in clear, factual German.
